Vertafore, an insurance technology provider, has launched two AI agents that automate policy data entry and verification, targeting administrative bottlenecks that can consume agency resources and undermine operational efficiency.
The company has made its Velocity Policy Intake Agent and Velocity Policy Check Agent generally available, using AI to streamline the handling of policy documents and reduce the need for staff to perform repetitive data management tasks.
The Intake Agent extracts policy details from documents and transfers them into an agency management system (AMS), while the Check Agent compares issued policies against existing records to identify inconsistencies. Vertafore says early trials showed time savings of up to 87% for policy intake and 90% for policy checking.
The launch reflects a wider push to embed AI into enterprise workflows, moving beyond standalone assistants towards systems that can carry out defined operational tasks while retaining human oversight.
Insurance agencies frequently receive policy information outside automated carrier download feeds. Documents such as declarations pages, binders, applications, schedules, spreadsheets and PDFs must often be reviewed and entered manually, creating a substantial administrative burden.
Vertafore’s Intake Agent extracts information from these sources, maps it to the relevant AMS fields and flags new, altered, missing or contradictory data. Staff retain control over proposed changes, approving them before the agent updates the system and stores the supporting paperwork.
The tool is live in AgencyOne with AMS360 and available in early access for Sagitta. Early adopters reported that building and reviewing a standard Commercial Property and General Liability package took up to 87% less time.
The Check Agent focuses on data validation, comparing carrier-issued policies with AMS records andorrections. Once approved, changes are applied, suspenses are created where required and each review is logged to support auditability
Available in AMS360, the Check Agent reduced checking time by up to 90% per line of business in early trials. The technology also addresses the risk of inconsistencies in coverage, limits and deductibles, which can lead to client issues and increase errors and omissions (E&O) liability.
Both agents are part of Vertafore’s Agentic Agency strategy, which aims to integrate AI across sales, submissions, servicing, accounting and business intelligence. The structured data produced through policy processing can also support further workflows, including endorsements, remarketing, quoting and proposals.
Vertafore supplies core systems, specialised AI and data infrastructure to agencies, managing general agents (MGAs) and carriers. It says it serves more than 95% of leading agencies and insurers and handles half of the industry’s compliance transactions.
Vertafore president and chief AI officer James Thom said, “Agencies depend on policy information every day, but not all of that information makes it into the management system where it can be readily put to use. By changing that equation, these agents strengthen the AMS as a true system of record—putting more comprehensive, accurate data at an agency’s fingertips to service client needs today and support opportunities for organic growth tomorrow. That’s Distribution Velocity: removing friction so agencies can adapt faster and grow smarter.”
Accountable Insurance Partners farm account manager Ali White said, “Most of our farm policies don’t download, which has traditionally meant a lot of manual data entry for our team. We’re already seeing time savings with Policy Intake Agent. Having it take on so much of that manual work makes a huge difference and gives our team valuable time back.”
Biltmore Insurance Services vice president of Business Development & Field Operations Crystal Meador said, “Reviewing insurance policies has historically required a significant amount of manual effort, with team members comparing coverage details line by line to identify discrepancies and ensure accuracy. The ability to automate that process is transformative. It not only creates substantial time savings and consistency but also enables our teams to dedicate more energy to client strategy, risk consulting, and the personalised service that drives long-term relationships.”
