    Otter vs Fireflies: Clean Audio Is a Tie

    Choose Otter if live notes and a personal transcript history are the main jobs. Choose Fireflies if meetings need to feed a shared record, tasks, or connected business tools. For clean English calls, transcription accuracy is a weak basis for the decision; retention and post-meeting work matter more.

    A side-by-side comparison reports 93.8% word-level accuracy for Otter and 94.2% for Fireflies on clean, single-speaker English audio. It also cites roughly 15 minutes less editing per meeting for Fireflies summaries, though it does not publish the underlying timed outputs for that estimate. Treat the editing figure as a directional finding, not a saving to build into a budget.

    What an individual or five-seat team pays for

    The Otter pricing table lists Basic at 300 transcription minutes per user each month, with a 30-minute conversation limit, three lifetime file imports, and access to the 25 most recent conversations. Pro costs $8.33 per user monthly on annual billing or $16.99 on monthly billing. It raises the allowance to 1,200 minutes per user monthly, permits 10 file imports a month and conversations up to 90 minutes, and adds unlimited storage and conversation history. Business costs $19.99 per user monthly on annual billing or $30 month to month; it lists unlimited meeting transcription and conversations up to four hours, while imported-file transcription has a separate 6,000-minute monthly limit per user.

    The Fireflies pricing table lists Pro at $10 per seat monthly on annual billing or $18 month to month, with unlimited transcription and summaries but 8,000 stored meeting minutes per seat. Business is $19 per seat monthly on annual billing or $29 month to month; it adds unlimited storage, conversation intelligence, and team analytics. Advanced AI actions have a separate credit allowance, so unlimited summaries do not mean unlimited use of every assistant feature.

    At the published annual rates, one Pro seat costs less with Otter. For a hypothetical five-seat team, Pro subscriptions total $41.65 per month with Otter and $50 with Fireflies; Business totals $99.95 and $95 respectively. Those are subscription costs before any extra AI-credit purchases. Otter’s Pro recording allowance belongs to each user, so one busy recorder cannot rely on another user’s unused minutes. Fireflies Pro removes that monthly transcription ceiling, but its archive has a capacity limit.

    Free capture is not free retention

    Otter Basic is workable when calls are short and the user mainly needs recent notes. A recurring hour-long call exceeds its per-conversation limit even if monthly minutes remain. The lifetime import allowance also makes it a poor fit for bringing a substantial backlog of recordings into a new account.

    Fireflies’ <a href="https://guide.fireflies.ai/articles/4027724828-learn-about-the-fireflies-free-plan?trk=article-ssr-frontend-pulse_little-text-block” rel=”nofollow noopener” target=”_blank”>Free-plan guide says automatic joining enables unlimited eligible meeting transcriptions; otherwise it describes an initial three-meeting allowance. Uploaded-file transcription and meeting summaries draw on separate transcription credits, and transcript downloads require a paid plan. The guide describes 400 minutes of storage per seat, while the live pricing table describes 400 minutes per team. Because those descriptions differ on the unit, a five-person group should not assume that adding free members expands its retained archive.

    This distinction changes the value of a free tier. Fireflies can capture many eligible calls, yet storage, summaries, and downloads still constrain what users can keep or take elsewhere. Otter makes the capture ceiling more obvious through its monthly and per-conversation limits. Neither free offering is a reliable substitute for a long-lived team record when meetings accumulate regularly.

    Search depends on the history you can keep

    Otter’s paid history and advanced search suit someone retrieving their own calls by keyword, speaker, or date. It also offers sharing through channels, so a team is not confined to isolated personal files. Fireflies provides meeting search and shared workspaces; its appeal grows when several people need to find a discussion across the group’s retained calls. Access settings and what the team chooses to share still determine which records a colleague can search.

    Fireflies’ storage guide defines stored minutes as total capacity rather than a monthly allowance and includes live recordings, uploads, and imported recordings. It says Pro storage is pooled across seats, so a hypothetical five-seat Pro workspace has 40,000 stored minutes. When the pool fills, new meetings may still be captured, but older ones must be deleted to access the new records. Deleting them also shortens the history available for later search. Business removes that published storage ceiling; Otter Pro already lists unlimited storage, though its monthly transcription allowance still governs capture.

    Integrations, automation, and exports

    Otter lists Salesforce, HubSpot, and Zapier on Pro, as well as advanced AI workflows; Business adds custom workflows, while API and webhooks appear at Enterprise. Its CRM note-sync feature has user limits on lower tiers. For a sales group, that makes the number of colleagues who need CRM sync more consequential than the mere appearance of a CRM logo on a feature list.

    Fireflies Pro includes integrations, action items, a task manager, and downloads of transcripts, summaries, and recordings. Business adds manager-facing analytics, while Enterprise lists a rules engine and further administrative controls. The separate AI-credit allowance matters when automated analysis or custom AI actions are frequent: core transcription and summaries can continue under the paid plan even when credit-consuming features need additional capacity.

    Export needs can reverse an otherwise close choice. Otter Basic lists audio and text export, Pro adds PDF, DOCX, and subtitle formats, and Business adds bulk export. Fireflies reserves transcript, summary, and recording downloads for paid users. If the record must move into a local archive, those format and download rights matter directly; if it must move into a CRM or task system, the available connection and its user limits matter more.

    The practical choice

    Otter is the better fit for a person who values live captions, edits their own transcripts, and wants an unlimited paid history without a storage calculation. Fireflies is more compelling when a team wants pooled meeting records, broader language coverage, and follow-up work in connected systems. Otter’s published language list includes English, Spanish, French, German, Japanese, and Chinese; Fireflies lists transcription in more than 100 languages. Fireflies also distinguishes ordinary transcription across languages from its Business-only Multi-language Mode for meetings where multiple languages are spoken.

    For a five-seat team, the deciding constraint may be different at each tier: per-user recording minutes on Otter Pro, cumulative retained minutes on Fireflies Pro, or the people and actions allowed to use a particular integration. The clean-audio result makes those workflow limits a more useful purchasing comparison than a small reported difference in word accuracy.
